Set Up Roles and Permissions for Your Editing Team

Decide who can edit, approve, publish and see the money before you invite anyone, so a growing team stays organized and safe.

A team with no defined roles works until it does not. Someone approves the wrong cut, a draft goes out early, or sponsor rates end up in front of people who never needed them. Setting roles on day one prevents all three.

Start with the work, not the titles

List the jobs that happen on every video: editing, thumbnail design, review, approval, publishing and sponsor handling. Then decide who does each one. Titles can come after.

Give each role the least access it needs

  • Editors: upload cuts, reply to notes and resolve feedback
  • Designers: work on thumbnails and titles, with no access to deal terms
  • Reviewers: comment on cuts but cannot change versions
  • Approvers: sign off on versions and can publish
  • Owner: manages the team, billing and sponsor information

Keep conversations in the right channel

Separate channels by audience, such as one for editors and one for creators, so feedback about a cut does not mix with business discussions. Real-time notifications keep everyone current without a separate thread for every update.

Protect financial information

Sponsor rates, payment milestones and invoices belong to the people who run the business. Give editors and designers the deliverable requirements they need without the money attached.

Control who sees what. Start your 14-day trial of Audence to organize your team with role-based channels and permissions.

Team setup checklist

  • Every recurring job has one named owner
  • Each person has only the access their role needs
  • Editor and creator conversations have separate channels
  • Sponsor rates and payments are visible only to the owner and approvers
  • Access is reviewed when someone joins, changes role or leaves
